Software total cost guide

A seat price is only the starting point. Put both quotes on the same basis, include the work needed to get started and check what changes at renewal.

1. Put both quotes on the same basis

Write down the currency, paid team size and evaluation period before comparing amounts. Separate people who need paid access from guests or viewers, and verify which roles the quoted plan bills.

Check billing frequency and contract duration independently. A yearly commitment paid in monthly instalments is different from a subscription that renews every month. Do not assume that a monthly equivalent describes either the payment schedule or cancellation rights.

2. Collect the costs that sit outside the headline

Use the following as a quote checklist. A blank item is still a question; enter zero only after you decide that no cost belongs there. Ask for the plan that includes your required controls and workflow.

3. Work through a two-option example

These are hypothetical inputs, not prices of real products. A team of 12 is evaluating 24 months. Option A costs USD 8 per seat per month, requires at least 15 paid seats and needs USD 900 of setup work. Option B costs USD 12 per seat per month with no seat minimum or setup cost. Both have zero other monthly costs in this example.

Option A: 15 × USD 8 × 24 + USD 900 = USD 3,780. Option B: 12 × USD 12 × 24 = USD 3,456. Option B is USD 324 lower over this period, even though its seat price is higher.

Change the team size or duration and calculate again. The useful result is the cost under your stated assumptions; it does not establish that the cheaper option meets the requirements.

4. Use a formula you can audit

Paid seats = the larger of team size and minimum paid seats. Monthly cost = paid seats × monthly seat price + other monthly costs. Estimated total = monthly cost × months + one-off costs.

The calculator uses constant seats and prices for the selected period. It does not apply automatic growth, discounts, tax, currency conversion or contract rounding. For an annual commitment, include the whole period you must pay for, even when the team expects to stop using it earlier.

For tiered or usage-based quotes, work out the quoted total for the same team and expected volume first. You can enter a zero seat price and put that total’s monthly equivalent under other monthly costs. Record how you derived it.

5. Keep cost and fit in the same decision

Review the estimate with the people responsible for the rollout. Ask whether migration time is realistic, which existing tools can actually be retired and what work continues after launch. Do not count a cancelled subscription as a saving until the team has an exit plan.

Keep a baseline scenario, a growth scenario and a renewal scenario. Use written quotes or current pricing pages for the amounts, and label your own estimates. Compare the cost difference with the requirements each option demonstrably meets.

Common questions

Is total cost the same as subscription cost?

Subscription cost is one part. Your decision may also involve setup, recurring internal work and switching costs. Include the items relevant to your situation and state the exclusions.

Should we always choose annual billing?

Compare the quoted amount with the commitment and the ability to change seats. A discount can be outweighed by unused access or a change in requirements. Use the terms of the actual offer.

Does the calculator pull live product prices?
